Job Description

Job Purpose

Responsible for the proper functioning of the order processing, to ensure support for the commercial activities.

Responsible for organising all logistic activities, to optimise the movement goods, and be efficient with cost, timing and customer satisfaction.


  • Act as coordinator for receiving orders from internal & external customers both globally and locally and entering and maintaining those orders in company ERP system (SAP)
  • Finalize sales ensuring product is shipped on time.
  • Data entry in Excel and SAP of all relevant paperwork including, but not limited to, packing lists, invoices, packaging schedule for current and upcoming orders, planning file of all sales
  • Coordinate with customers for delivery details
  • Assist to prepare and forward various shipping documents to customers and freight forwarders
  • Be responsible for the actual coordination of all transportation, including planning, ensuring that all requirements and documentation in function of safety, quality and food safety are in place
  • Keeping records of the checks done upon loading (outbound) and unloading (inbound) deliveries
  • Be responsible for transporter selection and evaluation, including (but not limited to) keeping approved transporter list updated
  • Be responsible for the actual purchasing activity, including (but not limited to) arranging purchase orders (SAP), discussions on delivery times, ensuring that all documentation required in function of safety, quality and food safety are provided along with the goods
  • Select and evaluate suppliers, including (but not limited to) keeping approved vendor list updated, supplier performance evaluation using scoring system
  • Process complaints to suppliers
  • Related to the company’s quality systems: maintaining the working procedures, supporting docs, etc. up to date for which this logistics function is responsible and participating in other procedures and audits, both internal quality audits and third party audits


  • Bachelor degree or equivalent
  • Experience working in Customer Service and/or logistics
  • Very fluent written/verbal communication skills in English
  • Knowledge of MS Office and other relevant software
  • Knowledge of GMP/HACCP is a plus
  • Knowledge of MS Office and other relevant software

    Sales order modules (quotation, sales, invoicing)

    Process order module (creating process orders, confirmation, TECO)

    Purchasing (creating POs, receiving goods)

    Inventory (MMBE, MB51, outbound deliveries)

    Documents they should be aware of for international shipping:

    Commercial invoice, packing list, certificate of origin, health certificates, proforma invoices, airway bills, bill of ladings
